Automated debtor management

A complete end-to-end automation of all payment processes often entails particular challenges for merchants: Accounting files must be posted correctly within debtor accounting, cash receipts must be allocated and refunds must be initiated via various banks, acquirers and payment system providers. Without systems that are perfectly crafted to meet these requirements, this normally results in costly manual processes. The Accounting module of the PAYONE Platform provides you with an integrated debtor management for a complete automation of your payment processes.

Payment with integrated debtor management

Benefit from perfectly aligned processes to help you reduce your costs – with our Accounting module the precise recording of all payment processes is fully automated. Labour intensive balancing procedures become a thing of the past. This will allow you to spend more time on your core business.

Fully automated allocation of incoming payments

All account statements and settlement files are automatically retrieved and processed every day. In general, up to 99% of the payments received  are allocated to the corresponding receivables and posted to the customer account in a fully automatic process. Upon request, PAYONE will take care of elucidating and assigning ambiguous cases.

Refunds via bank transfer for all payment methods

For many payment methods, such as online transfers, there is no inherent option for refunding payments. In practice, this often results in cost-intensive manual processing. The Accounting module provides solutions for these challenges and allows you to refund any payment by bank transfer for all payment methods. Across the whole of Europe and fully automated.

Centralised data management and full transparency

The PAYONE Merchant Interface (PMI) provides you with full transparency of all accounts receivable account, processes and transactions as well as the billing addresses of your customers, including credit card data and bank account details.

Perfectly integrated

Use our additional optional PAYONE Platform modules to externalise all payment processes to PAYONE: From subscription handling and invoicing to transaction bundling to dunning and encashment processes.

Payment with integrated debtor management

The Accounting module offers you a fully automated debtor management and allows you to fully automate all payment processes. It lists all your debtors' receivables and posts all payments. All payment movements are continuously monitored by automatically retrieving account statements and settlement files such as EPA and assigning them to the respective receivables. State-of-the-art technologies and certifications according to industry standards ensure maximum security, performance and availability. Learn more about the PAYONE Platform.

All features at a glance

Management and administration of accounts receivable accounts

The Accounting module keeps an accounts receivable account for each of your customers, which consists of several transaction accounts. One transaction account is kept for each purchasing process: All receivables and payments are posted on this account.

Master data and payment method management for all debtors

For each debtor, the module stores invoice address, credit card information and bank account details. These can be used for further payment transactions and can be viewed and edited at any point in time via the PAYONE Merchant Interface (PMI). There is no need for you to store this data on your own systems, so you can do without the cost-intensive certification according to the Payment Card Industry Data Security Standard (PCI DSS).

Automatic retrieval and processing of accounting files

The module automatically retrieves account statements from banks and settlement files from acquirers and payment system provider (e.g. EPA files) on a daily basis for allocation and booking purposes within the Accounting module. PAYONE also supports cross-border settlements via SEPA as well as all relevant national payment formats of a large number of banks and acquirers throughout Europe. This means that manual processes on your side are no longer required.

Automatic allocation and booking of all payment movements

Intelligent algorithms and scoring procedures are used to automatically allocate all received transfers to the corresponding transaction accounts. All payment movements are reported to your systems. If the system is not able to allocate a received payment because several details entered by the end customer are incorrect, PAYONE will manually allocate the receipt of payment.

Automatic chargeback detection

The Accounting module automatically detects and processes chargebacks or return debit notes and reports them to your systems. This allows you to perform any necessary steps without delay, such as blocking the customer account to prevent further chargebacks. In addition, you can use the Collect module of the PAYONE Platform to automatically start the dunning and collection procedures.

Uniform transaction types across all payment methods

The Accounting module of the PAYONE Platform disposes of integrated business logics which allow to provide uniform transactions and transaction types across all payment methods. This means that the module supports all transaction operations and automatically posts them to the customer's account (booking, pre-authorisation, capture, multi partial capture, recurring payments). For you this means: Reduced complexity, simple integration and proper accounting.

Balancing of initiated cash inflow and outflow

The Accounting module monitors the correct execution of all initiated cash inflow and outflow transactions by comparing them with the recorded payment movements. This is particularly useful for such payment processes as direct debits or refunds which the banks book to your bank account with a certain time offset. Any resulting differences will be easily identified and elucidated.

Open items management

The open items management lists all receivables which are not settled at a given time. You may, for example, view all open items via the PAYONE Merchant Interface (PMI) which were opened in January and not settled by March.

Centralised administration and full transparency

Use the PAYONE Merchant Interface (PMI) for full transparency of all accounts receivable accounts, processes and transactions. In addition, you can choose to trigger manual bookings and make exports.

The PAYONE Platform provides flexible APIs for controlling all transactions. Learn more about the interfaces of the PAYONE Platform.
