The Accounting module keeps an accounts receivable account for each of your customers, which consists of several transaction accounts. One transaction account is kept for each purchasing process: All receivables and payments are posted on this account.
For each debtor, the module stores invoice address, credit card information and bank account details. These can be used for further payment transactions and can be viewed and edited at any point in time via the PAYONE Merchant Interface (PMI). There is no need for you to store this data on your own systems, so you can do without the cost-intensive certification according to the Payment Card Industry Data Security Standard (PCI DSS).
The module automatically retrieves account statements from banks and settlement files from acquirers and payment system provider (e.g. EPA files) on a daily basis for allocation and booking purposes within the Accounting module. PAYONE also supports cross-border settlements via SEPA as well as all relevant national payment formats of a large number of banks and acquirers throughout Europe. This means that manual processes on your side are no longer required.
Intelligent algorithms and scoring procedures are used to automatically allocate all received transfers to the corresponding transaction accounts. All payment movements are reported to your systems. If the system is not able to allocate a received payment because several details entered by the end customer are incorrect, PAYONE will manually allocate the receipt of payment.
The Accounting module automatically detects and processes chargebacks or return debit notes and reports them to your systems. This allows you to perform any necessary steps without delay, such as blocking the customer account to prevent further chargebacks. In addition, you can use the Collect module of the PAYONE Platform to automatically start the dunning and collection procedures.
The Accounting module of the PAYONE Platform disposes of integrated business logics which allow to provide uniform transactions and transaction types across all payment methods. This means that the module supports all transaction operations and automatically posts them to the customer's account (booking, pre-authorisation, capture, multi partial capture, recurring payments). For you this means: Reduced complexity, simple integration and proper accounting.
The Accounting module monitors the correct execution of all initiated cash inflow and outflow transactions by comparing them with the recorded payment movements. This is particularly useful for such payment processes as direct debits or refunds which the banks book to your bank account with a certain time offset. Any resulting differences will be easily identified and elucidated.
The open items management lists all receivables which are not settled at a given time. You may, for example, view all open items via the PAYONE Merchant Interface (PMI) which were opened in January and not settled by March.
